First Call System

Getting set up

Before your build

Create or claim your Google Business Profile

You need it for Google review requests and the review button on your card. It's free.

  1. Sign in to a Google Account (any email address works; you don't need Gmail).
  2. First check whether a profile already exists: search Google Maps for your business name and city.
  3. If it's there but not yours yet, open it and choose "Claim this business", then "Manage now", and follow the steps.
  4. If it isn't there, go to business.google.com/add and choose "Add your business to Google". Enter your business name and category.
  5. Work from home or at customers' jobs? Choose that you don't serve customers at your address, then add the cities or ZIP codes you serve (up to 20). Your home address stays hidden.
  6. Add your business phone and, if you have one, your website. No website? You can leave it blank or use your First Call System card link once you have it.
  7. Pick a verification option. Google decides which options you get (phone or text code, email, video recording, live video call, or postcard). Video is often recommended for service businesses: show your truck or tools, your work area and proof you run the business.
  8. Google's review can take up to 5 business days (sometimes longer). A postcard code usually arrives within 14 days. Don't change your business name, address or category while you wait.
  9. When you're verified, get your review link (see the next guide).

No profile yet when you fill out the intake? Leave the Google review link blank. Everything else is built normally; review requests and the card's review button stay off until you add the link later through FCS Support.

Logo and brand colors

Optional. They style your card and email signature.

  1. The intake asks for a direct link to your logo file (PNG or SVG), starting with https://.
  2. If your logo is on your website: right-click it and choose "Copy image address", then paste that link.
  3. No logo or no link? Leave it blank. You get a clean text-based card, and you can send a logo link later through FCS Support.
  4. Brand colors: pick them with the color boxes on the intake, or leave the defaults.
Hours and your booking page

Your booking page only offers times inside the weekly hours from your intake.

  1. Pick Open (with start and end times) or Closed for each day on the intake, plus your timezone.
  2. Hours changed? Tell FCS Support your new hours and confirm the change.
  3. Booked appointments land on your CRM calendar and get an email reminder.
  4. Only want estimate requests, not bookings? Choose that on the intake under how clients book you.

After your build

Log in to your CRM for the first time

When your build is done, your welcome email explains how to log in. Your login email is the business email from your intake.

  1. Look for the welcome email (subject: Your First Call System Is Ready!). Check spam or promotions too.
  2. Go to app.gohighlevel.com and choose "Forgot password".
  3. Enter the business email from your intake, then open the reset email and set your own password.
  4. Sign in. Your business appears as your own account with your pipeline, calendar and conversations.

No welcome email, or the reset email never arrives? Tell FCS Support. It checks your setup and records the problem so it gets fixed.

See new leads on your phone

Lead alerts go to your business email automatically. To see new leads on your phone, use the free LeadConnector app.

  1. Install the LeadConnector app from the App Store or Google Play.
  2. Sign in with the same email and password as your CRM, then pick your business if asked.
  3. Test it: submit your own booking or estimate request. You should get an alert email, and the new lead should show in the LeadConnector app.
  4. Don’t see it in the app? Check that you picked the right business, and make sure the app is updated.

Want alerts at a different email address? Your alert email is your login email, so ask FCS Support and it records the change request.

Add the website chat to your site

After your build, we email you a short code snippet for your website chat that delivers visitor messages to your CRM inbox and mobile app. You paste it once and the chat bubble appears on every page.

  1. WordPress: install the free "LeadConnector" plugin (Plugins > Add New, search LeadConnector, Install, Activate), sign in with your CRM login, turn on Chat Widget and Save. Or paste the snippet into a site-wide footer code box. Clear any caching plugin afterward.
  2. Wix: in your site dashboard go to Settings > Custom Code, choose + Add Custom Code, paste the snippet, pick All pages and Body - end, then Apply. Wix only runs custom code on a published site with a connected domain.
  3. Squarespace: go to Settings > Developer Tools > Code Injection (some sites show Website Tools > Code Injection), paste the snippet into Footer and Save. Squarespace only includes Code Injection on some plans (not its entry-level plan). Don't see it? Your plan doesn't include it: upgrade in Squarespace, or share your booking page link instead.
  4. GoDaddy Websites + Marketing: edit your site, choose Add Section, search HTML, paste the snippet into Custom Code, then Publish. GoDaddy places the code inside a box on that page, so the chat may show inside the section instead of floating in the corner. If it doesn't look right, link your booking page instead.
  5. Someone else manages your site (web designer, Shopify, Webflow or another builder)? Forward them the email. The snippet goes just before the closing body tag on every page.
  6. Test it: open your site in a private browser window, start a chat and send a test message. Your message should appear in your CRM inbox and mobile app.

No website? See "No website yet" below. Lost the snippet? Ask FCS Support.

No website yet

You don't need a website to use First Call System.

  1. You still get your online booking page, your "Request a free estimate" form and your digital card on your own link.
  2. Share your booking page and card link everywhere customers find you: your Google Business Profile, Facebook, your email signature and your estimates.
  3. The website chat needs a website to live on. When you get a site, ask FCS Support for your chat snippet and add it then.

Want one? The optional Website Page add-on ($29/month, free setup, 3-month minimum) gives you a one-page site with your chat already on it.

Leave the website field blank on the intake. Don't enter "N/A" or "coming soon".

Add-ons and Pro

Website Page: use your own domain Add-on

Your page is live on its free address first. To move it to a domain you already own (like yourbusiness.com):

  1. Sign in where you bought the domain (GoDaddy, Namecheap, Squarespace, Cloudflare and so on) and open its DNS settings.
  2. Add or edit 2 records: type A, host @, value 187.127.254.66, and type A, host www, value 187.127.254.66. If www is a CNAME, delete it first.
  3. Don't change your MX records (your email) or anything else. Remove any AAAA records for @ and www.

We check every 15 minutes, turn on https automatically and email you when your domain is live, usually within an hour (DNS can take up to 24 hours). Your free address keeps working.

Pro: your AI phone line Pro

Optional on Pro. A new local number answered by an AI voice assistant. Your main number stays exactly as it is; you choose when to forward calls to the AI number.

  1. First, the one-time ID check. Phone carriers require the business owner to verify their identity before a business phone number can be issued. After your build, we email you a direct link. Log in to your CRM, open Settings > Phone System > Additional Settings > KYC Verification and click Complete Verification. You need your original, unexpired photo ID (driver's license or passport, not a photo or scan of it) and a phone or webcam for a quick live selfie. It's free and takes a few minutes. Do it yourself in one sitting and keep the tab open until it finishes. It usually completes within 24 hours. Already submitted it? Tell FCS Support so we can follow up.
  2. Right after you're verified, pick your own voice-capable local number in your CRM: Settings > Phone System > Phone numbers tab > + Add Number > Buy your Number > Filter. In Filter: type your area code in Search By digit or phrases, set Match To: First part of number, keep SMS and Voice ticked, untick MMS, and under Number Type keep Local ticked and untick Toll Free, then click Apply. Pick a Local number ($1.15/mo) and click Proceed to Buy. Pick a number whose Type says Local, not Toll-free. The number's monthly fee is covered by AES. You may see a texting (A2P) registration notice in your account. Texting starts once that registration clears, and FCS Support walks you through it. Step-by-step guide with screenshots.
  3. Once your number is added, your AI line is connected automatically, usually within an hour, and we email you when it's live. The number shows in your CRM on the Phone numbers tab (Settings > Phone System).
  4. Your plan includes 500 AI call minutes per billing period. Each call can last up to 5 minutes. There are no overage charges for minutes. At 500 minutes, calls go to voicemail in your CRM until your billing date, then the AI line turns back on automatically. We email you at 80% and 100% of your 500 included minutes. Need more? Add 250 minutes for $75 anytime.
  5. Pro includes texting on your AI number. It starts once your A2P registration (the carrier texting registration) clears, and FCS Support walks you through it. AES covers the A2P registration fees, so texting is included in Pro at no extra charge. 500 texts included per billing period. Texts over 500 are $0.07 each, billed with your monthly invoice. Outgoing texts pause at 750 per billing period until your billing date.
  6. List it wherever customers find you: your website (for example, "24/7 line"), your Google Business Profile as an additional phone number (keep your main number as the primary), and your email signature.
  7. When someone calls, the assistant takes their name, number, address and what they need, then emails you a summary so you can call back.
  8. Want it turned on or off? Tell FCS Support and it records the request.

It answers calls to its own number at any hour, within your included minutes. Your main line stays as it is, and you can forward it to the AI number whenever you like. During business hours it can forward or transfer calls to you.

Cancelling

You can send a cancellation request at any time. It takes effect 30 days later, or at the end of your 3-month minimum if that's later.

  1. Send your request through your FCS Support link. It records the request and the date.
  2. Your plan runs until the end of the 30-day notice period, and your last charge is prorated to that date. We email you a confirmation with your cancellation date.
First Impressions Card

Managing your card

Change your card

Tell our AI support assistant what to change, in the support chat or by email. It shows you exactly what will change and emails a one-tap confirm button to your account email. Or open Manage my card (linked in your welcome email): enter your account email, open the secure link we send, change your details and save. Either way, your card updates automatically within a few minutes.

Each card includes 3 free change rounds. A round is one confirmed set of changes, with as many details as you like. Follow-up tweaks to the same details within 24 hours count as the same round. After 3 rounds, each extra round is a one-time $5. Fixes for problems on our side are always free. You can see your remaining rounds on Manage my card and in every confirm email.

Add or remove the Motion Upgrade

Use Manage my card from your welcome email to request adding or removing the Motion Upgrade. Our AI support assistant confirms the change. Adding takes effect when confirmed: $10/mo from your next invoice. Removing takes effect at your next billing period. A setup fee waived with Motion is never charged later.

Save your card to your home screen

iPhone: open your card in Safari, tap Share, then “Add to Home Screen.” Android: open your card in Chrome, tap the three-dot menu, then “Add to Home screen” or “Install app.” Your logo becomes the icon.

Share your card

Text or email your link (it shows a branded preview), print your QR code on signs, menus, receipts or your truck, and add the link to your email signature and social profiles.

Cancel your card

Go to Manage my card, enter your account email and use the Cancel link we email you. Your card stays live until the end of the period you’ve paid for. Resubscribe later with the same email, and your card is restored.
